Description:
We’re hiring an Event Coordinator who sees space, sound, light, and people as raw materials for unforgettable experiences. If you’re the one your classmates asked to “just make a Google Doc,” or the person who handled the whole graduation party while smiling — we’re talking to you. You’ll manage timelines, vendor communication, budgets, and floorplans like a pro with a clipboard and a Plan B (and C). From immersive exhibitions to rooftop gatherings, you’ll map the logistics that make magic feel seamless. You’ll source venues, negotiate pricing, and coordinate catering, tech, staffing, and transportation with efficiency and professionalism. ” You’ll shadow real coordinators and support projects like conferences, networking events, community pop-ups, or brand launches. You’ll help scout venues, collect quotes, draft emails, and manage timelines that span dozens of people and tasks. You’ll track expenses, negotiate costs, and make smart choices without compromising the vision. You’ll help manage logistics: printing badges, organizing supplies, coordinating couriers, prepping event kits — and yes, sometimes taping down cables.
Basic Qualifications:
- Track event budgets, process invoices, and monitor expenses to avoid overruns while maximizing quality and impact.
- Handle on-the-ground decision-making during events—problem-solving quickly when faced with weather issues, technical glitches, or vendor delays.
- Work across formats: in-person, virtual, hybrid—adapting event strategies and tools (e.g., Zoom, Hopin, Whova) accordingly.
- Create contingency plans and backups for key elements such as weather, speaker cancellations, or tech failures.
- Coordinate staffing—scheduling volunteers, ushers, tech support, or contracted staff as needed for smooth operations.
Preferred:
- Understands how to source materials, negotiate contracts, and handle last-minute changes.
- Willing to support setup, breakdown, and cleanup tasks during in-person events.
- Comfortable coordinating with vendors, venues, speakers, and internal teams.
- Can assist with on-site or virtual registration, signage, and guest communication.
- Enjoys problem-solving and creating memorable, well-run experiences for attendees.
