Description:

We’re hiring a proactive and detail-oriented Virtual Assistant to help support our team with various administrative tasks. You’ll manage the team’s calendar, scheduling meetings and appointments, and ensuring that all commitments are met on time. You’ll handle email correspondence, organizing incoming emails, responding to messages, and prioritizing tasks for the team. You’ll handle document organization, data entry, and maintaining digital filing systems for easy access to important information. You’ll help prepare and format reports, presentations, and other documents to support the team’s efforts. You’ll coordinate travel arrangements, from booking flights and hotels to organizing complete travel itineraries. You’ll help maintain a system for tracking expenses, invoices, and managing financial documents with accuracy. You’ll help with social media management, scheduling posts, and engaging with followers to build an online presence. You’ll handle administrative tasks such as data entry, managing documents, and filing to keep the team organized.

Basic Qualifications:

  • Keep SOPs and task documentation updated so things stay clear for you and anyone else who joins the team.
  • Track recurring tasks like invoice reminders, renewal deadlines, or customer follow-ups using simple automations.
  • Use productivity tools (Slack, Google Workspace, Airtable, Calendly, etc.) efficiently and independently.
  • Assist with personal errands like booking travel, ordering gifts, or handling returns—because life happens outside of work too.
  • Update websites, social bios, or online profiles with fresh content or links if requested.

Preferred:

  • Can jump between administrative, creative, and technical tasks based on need.
  • Good written English with clear communication and error-free responses.
  • Capable of tracking tasks and progress using project management platforms.
  • Knows how to organize digital folders, set up cloud storage, and maintain clean systems.
  • Wants to grow into roles like Executive Assistant, Project Coordinator, or Operations Manager.
