Description:
We’re hiring an Event Coordinator who sees space, sound, light, and people as raw materials for unforgettable experiences. You’ll be responsible for organizing conferences, seminars, corporate meetings, and partner activations from planning to execution. You’ll manage timelines, vendor communication, budgets, and floorplans like a pro with a clipboard and a Plan B (and C). You’ll join our team to learn how real events are built — from internal brainstorms to final wrap-up reports. You’ll source venues, negotiate pricing, and coordinate catering, tech, staffing, and transportation with efficiency and professionalism. You’ll be the calm during chaos, the person who solves problems before most people notice them. You’ll help scout venues, collect quotes, draft emails, and manage timelines that span dozens of people and tasks. You’ll balance logistics and hospitality — making sure the space is welcoming without sacrificing execution or timelines. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.
Basic Qualifications:
- Ensure compliance with local regulations, permits, insurance requirements, and safety standards for all event types.
- Oversee event setup and teardown—ensuring all elements (seating, signage, lighting, sound) are in place and functioning properly.
- Handle on-the-ground decision-making during events—problem-solving quickly when faced with weather issues, technical glitches, or vendor delays.
- Coordinate with clients, internal teams, or stakeholders to understand event objectives, goals, and expectations.
- Prepare and distribute event materials such as name badges, programs, agendas, signage, or welcome kits.
Preferred:
- Open to traveling or working evenings/weekends depending on event schedules.
- Willing to gather feedback from participants and implement improvements for future events.
- Experience assisting in the planning and execution of corporate, social, or virtual events.
- Capable of managing logistics such as catering, transportation, AV setup, and decor.
- Able to create event timelines, budgets, and checklists to ensure smooth operations.
