Description:
We’re looking for an Event Coordinator Intern who’s already been organizing things their whole life — now it’s time to do it professionally. You’ll plan and execute events from A to Z, whether it’s a 10-person breakfast or a 1,000-person launch party. You’ll manage timelines, vendor communication, budgets, and floorplans like a pro with a clipboard and a Plan B (and C). You’ll join our team to learn how real events are built — from internal brainstorms to final wrap-up reports. You’ll find beauty in the details: badge design, lighting temperature, the exact moment the music starts — it all matters to you. ” You’ll shadow real coordinators and support projects like conferences, networking events, community pop-ups, or brand launches. You’ll ensure every name badge is correct, every slide deck is ready, and every presenter has exactly what they need before they go on stage. You’ll balance logistics and hospitality — making sure the space is welcoming without sacrificing execution or timelines. You’ll build moodboards for partners, timelines for teams, and calm for clients who need to see the plan.
Basic Qualifications:
- Assist in marketing and promotion of events via email campaigns, social media posts, flyers, and community outreach.
- Contribute to a positive team environment by supporting others, staying organized, and communicating clearly throughout planning.
- Coordinate staffing—scheduling volunteers, ushers, tech support, or contracted staff as needed for smooth operations.
- Manage guest lists, RSVPs, invitations, and registration systems—whether for conferences, weddings, brand activations, or team offsites.
- Create detailed event schedules, floor plans, and task lists to keep everything running on time and aligned with the vision.
Preferred:
- Comfortable coordinating with vendors, venues, speakers, and internal teams.
- Understands how to source materials, negotiate contracts, and handle last-minute changes.
- Open to traveling or working evenings/weekends depending on event schedules.
- Thrives in fast-paced environments where multitasking and precision are key.
- Able to support both intimate meetings and larger conferences, launches, or networking events.
